Specialist Transfer Utility


The Specialist Transfer Utility makes it easy for CARE Administrators to transfer families from one specialist to another specialist. 



To use the Specialist Transfer Utility:

  1. Open the Specialist Transfer Utility by going to Main Menu > Utilities > Specialist Transfer.

  2. Select which specialists you want to include in the From Specialist and To Specialist filters using the Display filter. Choices include Active Specialists, Inactive Specialists, or All Specialists.
    Note: a specialist is considered inactive when the Inactive check box is checked on the Specialist Setup Form.

  3. Select the specialist to transfer the families from in the From Specialist field. Once a selection is made, all families linked to the selected specialist will display in the “Assigned Families” section.

  4. Select the specialist to transfer the families to in the To Specialist field.

  5. Select the families to include in the Termination Status Filter. Choices include No Term Date Entered, Terminated, or All.

  6. Select the families to transfer in the Assigned Families section 
    • To select a single family to transfer, click on the family name.
    • To select multiple families to transfer, hold down the CTRL key on your keyboard while you click on each family name.
    • To select a range of families to transfer, hold down the SHIFT key on your keyboard and select the first and last family in the range.

  7. Click the Move to Transfer Families List button (the button with the single blue arrow pointing to the right). The selected families will be moved to the “Transfer Families” list box. 

  8. After confirming the list is correct, click the Transfer button. A pop-up message will appear asking if you wish to complete the assign specialist process.
     
  9. Click Yes to continue or No to cancel the transfer.

  10. If you chose Yes to continue the transfer, the specialist on the Family Form: Case Info Page will be updated for each of the selected families.



Additional Information

  • To select all families, in step 6, click the Move All to Transfer Families List  button (the button with the double blue arrows pointing to the right).

  • Families may be moved back from the Transfer Families section to the Assigned Families section by selecting the families and clicking the Move to Assigned Families List button (the button with the single blue arrows pointing to the left) or the Move All to Assigned Families List button (the button with the double blue arrows pointing to the left).

  • The designation of the "To Specialist" as a primary or non-primary specialist is determined on a family-by-family basis according to the "From Specialist" primary or non-primary status. For example, if the "From Specialist" was a primary specialist for a specific family, the "To Specialist" will be designated as the new primary specialist for the family. Likewise, if the "From Specialist" was a non-primary specialist, the "To Specialist" will be assigned as a non-primary specialist for the family.



Applicable Setup and System Options

  • There is an "Update Reminder and Compliance Specialist upon change" system option (on the Validation Page of System Options). When this option is enabled and a family’s primary specialist is changed using the Specialist Transfer Utility, any incomplete reminders or compliance tasks that are assigned to the original specialist in the Specialist From section will be transferred to the new specialist regardless of whether or not the specialist is the primary specialist for the family.
