School Track Setup Form


The School Track Setup Form is used to maintain the school tracks for the school entries in CARE. The school track feature allows CARE Administrators to assign a vacation schedule at the "school level" in addition or instead of the "district level". Note: Each school may have one or more tracks.

School tracks are assigned to children on the Child Form: School Page.




To access the School Track Setup Form:

  1. On the School District Setup Form, find the applicable school district record by entering the District ID or clicking the Search button to the right of the District Name field.

  2. On the School(s) Tab, click the Edit button for the applicable school.




  3. The School Popup Form will be displayed. To add a new track schedule for the school, click the Add button on the [Add School Track] line - OR - To edit or view an existing entry, click the Edit button for the applicable school track.




  4. The School Track Popup Form will be displayed. From here, you can add, edit, or delete school tracks.




To add a new school track:

From the School Track Popup Form, there are three methods for adding school tracks:

  1. To use the School Track Template feature to enter vacation dates: 
    (For more information about school track templates, click here).
    1. On the School Track Popup Form, select an existing School Track Template from the list.
    2. Leave the Track Name field blank.
    3. Click the Save button. The vacation entries from the template will be added to the school track record.


  2. To create a new track and manually enter vacation dates:
    1. On the School Track Popup Form, leave the template field blank and enter a track name.
    2. Click the Save button.
    3. Click the Add button on the [Add School Track Vacation] line.
    4. Enter a description, a start date, and a stop date.
    5. Click the Save button on the detail line to save the entry.
    6. Repeat steps a-e for additional vacation entries.
    7. When done, click the Save button on the School Track Popup Form.


  3. To copy and paste vacation dates from another school track:
    1. Start on the School Track Popup Form for the school track you want to copy from.
    2. Click the Copy button. The school track schedule will be saved to the clipboard. 
    3. Go to the School Track record you want to copy to (you may need to go back out to the School District Popup Form to search for the appropriate school/school district).
    4. When back on the School Track Popup Form for the school track you want to copy to, click the Paste button.
    5. You will get a confirmation message reminding you that the data on the clipboard will replace any existing school track data. Click Yes to confirm.
    6. A confirmation message will be displayed once the process is completed.




Tips

  • To save time entering school tracks, the School Track Template feature can be used (see #1 in the "To add a new school track" section above) - OR - the Copy and Paste buttons (bottom left corner of the page) can be used to copy and paste existing district school tracks (see #3 in the "To add a new school track" section above).

  • To remove a previously entered School Track Template association, you will need to clear the entry from the School Track Template field by selecting the blank option at the top of the list - OR - you can use the School Track Template Setup Form.



Additional Information

  • When the Inactive box is checked, the school track will not be available for selection when adding new school track entries on the Child Form: School Page. Existing entries with the specified school track will not be affected. Also, all schools tracks (active and inactive) will be available in the School Track filter on reports in CARE. 


Applicable Setup and System Options

  • There is a "Give Priority to School Track Vacation" system option (on the Calculation Page of System Options). When this option is enabled, the school track vacation schedule (entered on the School Track Setup Form) will be granted priority over the district schedule (entered on the School District Setup Form). Therefore, if a child is linked to both a school track and district vacation schedule, the school track vacation schedule will be used. However, if no school track vacation schedule is entered, the district vacation schedule will be used. When this option is not enabled, district vacation schedules will be prioritized above the school track vacation schedule.
