Family Status Setup Form


The Family Status Setup Form is used to maintain the options available on the Family Status Entry Page. There are reports in CARE that allow you to pull family information based on status entries, which makes this a great option for entering data that can’t be entered elsewhere in CARE and is needed for reporting.

For example, you could add a "Mother is pregnant" status to allow you to track this information. Then, you could use the Status Notes Report to generate a list of pregnant mothers in your program so that you can send them information about WIC or choosing child care for a newborn baby. 

CARE Administrators can designate certain status entry selections as “red flag entries.” When retrieving a family record for a family with a current red flag status, the system will immediately take you to the Family Status Entry page where the red flagged status will be highlighted. Also, a small red flag will be displayed to the right of the parent's name in the header section of the Family Form. For more information: Red Flag Status- Family, Child, and Provider Records.



When the Inactive box is checked, the status will not be available for selection when adding new family status entries on the Family Form: Status Entry Page. Existing entries with the specified status will not be affected. Also, all status options (active and inactive) will be available as filters on reports throughout CARE. 



The following entries are required for proper system functionality. Descriptions for each entry may be adjusted slightly, but changes to the codes may cause system-wide issues. Additional entries may be added.

If the “Create Family Status” system option is activated (on the Family Termination section of the Term Options Page of System Options), when a family termination date is entered, a family status entry with code “13” will be system generated with the status start date equal to the family termination date.

Delinquent fees
(This is required for a custom enhancement that uses a SQL server job, run nightly, to create status entries for delinquent family fees. For this feature, delinquent fees are defined as follows: family fees that are two or more months overdue or family fees of $100 or more that are more than one month overdue.  If a family is deemed delinquent, a new status entry will be system generated with a start date equal to the current date. If a family is no longer delinquent, a stop date will be entered for the status entry.  The job will need to be installed on SQL Server in order for this functionality to be implemented.)

Applicable Setup and System Options

  • There is a “Create Family Status” system option (in the Family Termination section of the Term Options Page of System Options). When this option is enabled, a family status entry with code “13” will be system generated with the status start date equal to the family termination date whenever a date is entered in the Term Date field on the Family Form: Case Info Page.
